Program Manager, Shared Services

America (virtual/hybrid)

The Program Manager is responsible for overseeing the activities or the team assigned as well as a general knowledge of the portfolio of clients. They will work with clients, independent contractors, and sub-vendors as a direct contact or first point of escalation. As the team lead, they will be responsible for allocating resources to client/program activities and monitoring bandwidth of the team members. Periodic reporting and documentation related to team members, client data, and contractors.

What you'll get to do:

Manage a team of Program Specialists

  • Responsibility to monitor quality of work from the team members
  • Monitoring bandwidth and adapting to resource changes
  • Cross training the Specialists on process, client specific program details
  • Provide feedback and document team and individual performance
  • Lead cross-functional coordination for routine activities, project based work, and escalations
  • Issue resolution related to all client and contractor concerns and payment discrepancies
  • Resolve inquiries related to background investigations, I-9 forms, and records management
  • Research root-cause of escalation and account receivable aging items

Manage independent contractor and sub-vendor onboarding by gathering and validating all relevant legal documentation to adhere to client’s requirements. Responsibilities will include:

  • Acting as point of contact for independent contractors and sub-vendors, Compliance and Legal Teams
  • Account planning, program process improvement for efficiency and streamlining
  • Initiating, monitoring, and adjudicating all background check reports
  • Managing contractor assignment details including Time and Expense entry in VMS systems
  • Create and maintain agency records in People2.0 Software
  • Work with payroll in assuring independent contractors are paid on schedule as items are approved
  • Provide remittance details to the contractors receiving payments weekly
  • Work with sub-vendors to provide instruction about invoicing and payment terms by providing support with VMS activities
  • Providing time entry materials and guidelines to sub-vendor and independent contractors after onboarding.

Client engagement. Responsibilities include:

  • Managing client deliverables related to onboarding and off-boarding for independent contractors and sub-vendor populations
  • Recommend process improvements to create operational efficiencies
  • Contribute data and metrics to the program team during client meetings and regular cadence business reviews
  • Ensuring appropriate business teams are kept apprised of progress throughout the onboarding process until resource has completed all client requirements
  • Work with client on resolving independent contractors and sub-vendor agreement redlines with Legal and Compliance for support and final sign-off

Skills and experience we value:

  • Bachelor’s degree or 4 years of experience in program operations and service delivery
  • Excellent communication skills, both verbal and written
  • Excellent listening skills
  • Expert customer service skills
  • Attention to detail in document reviews as well as system input
  • Good organization skills: able to manage multiple requests and stay organized
  • Prior staffing/recruiting/HR experience is a plus
  • Strong critical thinking and problem-solving skills
  • MSP/VMS knowledge a plus
  • Experience with Canadian T4 employees a plus
